Payments and Refunds

Heartland offers several ways to manage your student account. Start by reviewing your bill and balance, then choose the payment option that works best for you.

View Your Bill & Balance

Your student account shows your tuition and fees, payments, financial aid, and any remaining balance.

Log in to myHeartland to view your current account balance and student bill through Student Center.

Heartland may also send billing information and important account reminders to your Heartland email, so be sure to check it regularly.

Payment Options

  • Pay online Log in to myHeartland to make a payment through Student Center. Payments can be made using a bank account or credit or debit card. Credit and Debit card paymetns are subject to a 2.85% processing fee. 
  • Pay in person at the Normal, Pontiac or Lincoln campus.Accepted payment methods include: cash (Normal campus only), check, money order or credit/debit card. 
  • Pay by mail (check only) to:

    Note: Post-dated checks will not be accepted. Returned checks will be assessed a $25 service fee.

Is an Employer or Organization Paying Your Tuition?

If an employer, government agency, community organization, or other approved sponsor will be paying all or part of your tuition, make sure Heartland receives the required payment information by the tuition due date.

You are responsible for any charges that are not covered by your sponsor.

Monthly Payment Plans

 

Need more time to pay your balance? Heartland partners with NelNet to offer monthly payment plans that allow you to spread your tuition and fees over several payments.

A payment plan is not a loan. There is no credit check and no interest.

 

 Payment Plan Costs

  • $30 non-refundable enrollment fee per semester
  • No additional transaction fee when payments are made directly from a bank account (ACH)
  • A 2.85% transaction fee applies to credit and debit card payments
  • A $30 fee applies to returned payments

Refunds

Refund Options

Eligible refunds are delivered according to the refund preference you select with BankMobile Disbursements, a technology solution, powered by BMTX, Inc.

When Will I Receive My Refund?

Refund timing depends on the type of funds that create a credit balance on your student account.

  • Non-financial aid refunds: Refunds are typically issued during the third week of classes.
  • Pell Grant and SEOG refunds: Refunds are processed after financial aid is disbursed to your student account, typically after the fifth week of the semester. Eligible credit balance refunds are issued within 14 days of disbursement.
  • Federal student loan refunds: Loan funds are not disbursed until 50% of the semester has been completed. Eligible credit balance refunds are issued within 14 days of disbursement.
  • Private grants and scholarships: Funds from outside organizations are applied to your student account after Heartland receives the funds.

Refund Eligibility When Dropping a Course

You may be eligible for a 100% refund of tuition and fees if you drop a course by the applicable refund deadline.

Refund deadlines vary based on the length and start date of your course. Be sure to review the refund deadline that applies to your course session before making changes to your schedule.

If you drop or withdraw from a course after the refund deadline, you are responsible for the tuition and fees for that course.

1098-T Information

Heartland Community College provides eligible students with a Form 1098-T, Tuition Statement, each year. The 1098-T provides information that you or the person claiming you as a dependent may need when filing a federal income tax return.

Receiving a 1098-T does not mean you automatically qualify for an education tax credit. Heartland Community College cannot provide tax advice or determine your eligibility for a tax credit. For questions about your individual tax situation, consult a qualified tax professional or the IRS.

Access Your 1098-T

Your 1098-T is available electronically through myHeartland when you provide consent for electronic delivery.

Before You Begin

  • If this is your first time accessing your 1098-T electronically, you will be asked to provide consent for electronic delivery.
  • If you do not provide electronic consent, your 1098-T will be mailed to the address Heartland has on file.
  • For the best experience, use a desktop or laptop computer.

To access your 1098-T:

  • Log in to myHeartland.
  • Open Student Center.
  • Select the Financial Account tile.
  • Select View 1098-T.
  • If this is your first time, follow the prompts to provide electronic consent.
  • Select the tax year you would like to view.

Frequently Asked Questions

Where can I view my student account balance?

Log in to myHeartland and open Student Center. Select the Financial Account tile to view your current account balance, charges, payments, and financial aid.

Is a NelNet payment plan a loan?

No. A payment plan is not a loan. There is no credit check or interest. A $30 non-refundable enrollment fee applies each semester you enroll in a payment plan.

When will my 1098-T be available?

1098-T forms are available by January 31 each year.

If you have provided consent for electronic delivery, you can access your 1098-T through myHeartland. If you have not provided electronic consent, your 1098-T will be mailed to the address Heartland has on file.

What payment methods can I use for my NelNet payment plan?

Payments can be made using automatic payments from a bank account (ACH) or a credit/debit card.

Additional service fees may apply to credit/debit card payments.

What does a credit balance on my student account mean?

A credit balance means the payments or other credits applied to your student account are greater than the charges currently on your account.

If you are eligible for a refund, it will be issued according to Heartland's refund process and your selected refund preference.

Why didn't I receive a 1098-T?

Not every student will receive a 1098-T. If you believe you should have received one but do not see a form available in myHeartland, contact Student Accounts at 309-268-8140.

When are my NelNet payments due?

Scheduled payments are processed on the 5th or 20th of each month. Your specific payment dates and amounts are provided when you enroll in your payment plan.

If a scheduled payment date falls on a weekend or banking holiday, the payment will be processed on the next business day.

Why did my student account balance change?

Your student account balance may change when charges, payments, waivers, sponsorships, or other adjustments are added to or removed from your account.

Review your account in myHeartland for your current balance. If you have questions about a charge or adjustment, contact Student Accounts at 309-268-8140.

What should I do if information on my 1098-T is incorrect?

If your name, address, Social Security Number, or other information on your 1098-T is incorrect, contact Student Accounts at 309-268-8140 for assistance.

What happens to my payment plan if I add or drop a class or receive financial aid?

Changes to your class schedule or financial aid may change your student account balance and payment plan amount.

Review your student account and payment plan after making changes. If you have questions about your updated balance, contact Student Accounts at 309-268-8140.

Does receiving a 1098-T mean I qualify for an education tax credit?

No. Receiving a 1098-T does not automatically mean you qualify for an education tax credit. Eligibility depends on your individual tax situation.

Heartland Community College cannot provide tax advice or determine whether you qualify for a tax credit. Consult a qualified tax professional or the IRS for assistance.
